Human Resources Associate

We have an exciting opportunity in our Corporate Services team based in our Sydney Office for a Human Resources Associate who shares our passion: Thinking for a Better World.

Duties and Key Responsibilities

The Human Resources (HR) Associate will report to the HR Manager and work closely with the HR Team. The associate will be responsible for different areas of recruitment, payroll, general HR, and administrative tasks. The specific duties and responsibilities are as follows.

Recruitment

Take ownership of the recruitment process and pipeline to help ensure Castalia regularly delivers a sufficient number of suitable candidates to meet Castalia’s hiring needs. This includes:

  • Communicating with the internal team on any recruitment progress and updates; drafting job advertisements and posting the advertisements across online recruitment platforms, Castalia’s Website, and communicating to partner universities about job opportunities available at Castalia
  • Conduct screening interviews and assessments and have the results ready for Castalia’s management team to utilize during the final interview
  • Keep ongoing communication with candidates for status updates on their application
  • Ensure that Castalia’s talent pool database is up to date.

Payroll

Runs the regular payroll cycle across Castalia’s Australia office and other global offices in New Zealand, the USA, and Colombia. This includes:

  • Generating timesheet reports required for the payroll period
  • Administering payroll and leave through different payroll platforms
  • Maintaining payroll records while ensuring all files are kept confidential and secured
  • Generating month-end reports for filing and providing report copies to Castalia’s Finance Team for tax-related purposes.

General Human Resource

Assist in any regular day-to-day or recurring general human resource tasks, which include:

  • Lead the onboarding process and logistics for new employees, including training and work on other new hire employee set-up requirements
  • Assist the HR Manager on employee terminations and other exit process requirements
  • Ensure that the Book of Castalia, which is Castalia’s guidelines and policies online handbook, is up to date, including updating the organizational chart
  • Assist the HR Manager with any HR-related ad hoc tasks.

Other Administrative Support

Provide support on different administrative functions as required, which may include:

  • Requesting and monitoring staff members’ corporate credit cards, as part of the induction process
  • Maintain equipment asset checklist, ensuring all staff have Castalia-issued equipment and that they continue keeping them in good working condition. This includes monitoring any upgrades or repairs needed and coordinating them with the IT department
  • Assist Sydney-based staff with other onsite administrative tasks.

Who we’re looking for

  • A degree in Human Resources Management, Psychology, Business Administration, Marketing Management, or other relevant degree
  • At least 1 year of relevant work experience
  • The desire and ability to learn new things fast
  • Native-level fluency in English. Fluency in other languages is a plus
  • Work authorization in Australia.
